Meeting Room Information
Rules
- The library's limited meeting room space
is available whenever possible for
the use of non-profit organizations and individuals
for educational, cultural, and informational
community meetings and programs. Library-sponsored
programs receive first priority.
The fact that a group is permitted to meet
at the public library does not in any way constitute
an endorsement of the group's policies or beliefs.
- The Library Board of Trustees is
the final authority in granting or
refusing permission for the use of the room.
- All meetings must be open to the public.
- No admission may be charged.
- No programs involving sales may be conducted unless sponsored by the library, the Library Board of Trustees, the Fairfax Library Foundation or a Friends group.
- Publicity promoting meetings and events must clearly identify the sponsoring group, time and place.
- Furniture may be rearranged, but should be returned to the original configuration. Tables
and chairs are limited at some libraries.
- Library staff is not required to move meeting room equipment, furniture or personal property
for groups.
- Light refreshments may be served. Groups are responsible for supplies and prompt cleanup.
- According to Fairfax County Procedural Memorandum No. 136 (Revised), the use of alcoholic beverages in county facilities is strictly prohibited except when and where specifically authorized by the County Executive.
- The library does not provide media equipment or computers for use in meeting rooms.
- Groups using the meeting rooms are responsible for maintaining order, for compensating the library for damages to the premises, equipment or furnishings that occur during their use, and for the safekeeping of any private property brought into the library.
- If a meeting is postponed or cancelled, groups must notify the library immediately.

Herndon Fortnightly,
Kings Park,
Oakton,
Patrick Henry,
Reston Regional, and
Tysons-Pimmit Regional
libraries have meeting rooms available:
- Individuals receiving a meeting room key must sign a Letter
of Agreement, must be over 18 years of
age and must present a picture ID at the
time the key is issued.
- Meeting room users may
be required to bag trash and leave it by
the trash can in the room.
- Library building must be secured at the conclusion of the meeting.
- The meeting room key must be returned to the library immediately
upon the conclusion of the meeting, either
delivered in person to library staff or
deposited in book drop according to prior
arrangements.

Failure to comply with these rules
may result in refusal of your meeting room
use at the Fairfax County Public Library.
