The library's limited meeting room space is available at no charge for use by nonprofit organizations and individuals for educational, cultural and informational community meetings and programs. Meeting rooms are available during regular operating hours.

Meeting rooms at the Dolley Madison, Great Falls, Martha Washington, Reston Regional and Tysons-Pimmit Regional libraries are available during expanded hours, from 8 a.m. to 11 p.m. daily. See below for details.

  • All meetings must be open to the public.


  • No admission may be charged.


  • No programs involving sales may be conducted unless sponsored by the Library Board, the Library Foundation or a Friends group.


  • Requests for use of a branch meeting room must be submitted to designated staff at the branch.


  • Meeting rooms may be booked for the current month plus the next two consecutive months.


  • Due to high demand on evenings and weekends, it may be necessary to limit the frequency of meeting room use by organizations.


  • These guidelines are posted in all library meeting rooms and on the library's Web site.


  • Publicity promoting meetings and events must clearly identify the sponsoring group, time and place.


  • Assistive listening devices for people who are deaf or hard of hearing are available at some branches, and may also be borrowed from the library's Access Services department; call 703-324-8380 or TTY 703-324-8365 to make arrangements.


  • The Fire Marshal has posted the legal audience capacity for all meeting rooms.


  • Furniture may be rearranged, but should be returned to the original configuration.


  • Library staff is not required to move meeting room equipment, furniture or personal property for groups.


  • Light refreshments may be served. Groups are responsible for supplies and prompt cleanup.


  • According to Procedural Memorandum No. 136 (Revised), the use of alcoholic beverages in County facilities is strictly prohibited except when and where specifically authorized by the County Executive.


  • The library does not provide media equipment, computers, or internet access connections for use in meeting rooms. Wireless internet access is currently available at all library branches.


  • Groups using the meeting rooms are responsible for maintaining order, for compensating the library for damages to the premises, equipment or furnishings that occur during their use, and for the safekeeping of any private property brought into the library.


  • If a meeting is postponed or cancelled, groups must notify the library immediately.

Groups not conforming to any of the above guidelines may be refused future meeting room use.


Additional Guidelines for Before and After Hours Meeting Room Use

  • Meeting rooms are available for use free of charge from 8:00 a.m. until 11:00 p.m., seven days a week.


  • Meeting rooms are not available on county holidays.


  • Organizations must request before or after hours access to meeting rooms at least 48 hours prior to the meeting. Arrangements will be made for the organization's representative to receive the meeting room key during the library's regular operating hours, at least one hour prior to closing.


  • All user group representatives will be provided with an orientation regarding the use of the meeting room, to include responsibility for disseminating information to the other user group members related to emergency evacuation routes and procedures for entering/leaving the premises.


  • Individuals receiving a meeting room key must sign a Letter of Agreement, must be over 21 years of age and must present a picture I.D. at the time the key is issued.


  • Depending on the custodial schedule, meeting room users may be required to bag trash and deposit it in library dumpster.


  • Library building must be secured at the conclusion of the meeting.


  • Meeting room key must be returned to the library immediately upon the conclusion of the meeting, either delivered in person to library staff or deposited in book drop according to prior arrangements.


  • These guidelines supplement but do not supercede the "Guidelines for Meeting Room Use" established by the Fairfax County Library Board of Trustees and revised in July 2007.


  • These procedures will be reviewed and assessed on a regular basis and may be subject to change.

Groups not conforming to any of the above guidelines may be refused future meeting room use.
