Virtual Meeting Instructions

Webex meeting

Welcome to the Fairfax County Department of Transportation (FCDOT) Virtual Public Input Meeting instructions page. Here, you will find information on how to register for meetings on the WEBEX digital platform, how to join an online meeting and how to ask questions and provide feedback. To stay informed about all upcoming FCDOT virtual public meetings sign up for Fairfax Alerts and select the FCDOT News and Information category.

Multiple Ways You Can Attend/Participate Virtually

  1. Laptop or Desktop: Install WebEx app (Note: Some work laptops will not allow).

    Install the WebEx extension for your internet browser (Chrome, Firefox)

    Using the temporary WebEx client (Click on the link provided for the meeting.)
     
  2. Smart Device: Install WebEx app on your iPhone/Android or tablet
     
  3. Phone/Audio Online: Dial in audio (info at bottom of WebEx invite). This enables you to listen but not participate in the meeting. Each meeting has its own phone number and access code, which will be provided  with the meeting details on the Fairfax County Department of Transportation (FCDOT) website.

The WebEx Support site provides instructions on how to join and install the app from a PC, browser, mobile or phone.

 

  1. Open the link provided in the meeting's email or on the FCDOT website under the scheduled meeting you wish to attend.
  2. You will be prompted to register with your email address and zip code.
  3. You will then be prompted to join the meeting.
  4. A good rule of thumb is to join the meeting at least 5 minutes early to ensure your device is set up correctly.
  5. If you need technical assistance, please use the chat function. The chat icon is located on the same row of icons as the microphone and video and looks like a bubble. Please note: No public business can be conducted using the chat function, so this may only be used for technical assistance.

Webex Q&AAttendees will be muted during the duration of the meeting and will not be able to unmute themselves at any time. At the appropriate time on the agenda, attendees will have the opportunity to ask County staff and panelists questions. If you can, please use headphones or ear buds to cut down on feedback and provide a better audio experience. To ask a question, use the “Q&A” feature:

  1. Open the “Q&A” window.
  2. Type in your question.
  3. County staff will read each question aloud and answer accordingly as time allows.

If you are calling in via telephone, to ask a question:

  1. Press *3 to "raise" your hand and to be added to the queue. When it is your turn you will hear the sentence "your line has been unmuted" after which you will be able to ask your question.
  2. You will then be asked to press *3 again to “unraise” it and you will be muted (this is to avoid echo and feedback due to the number of participants). If you have additional questions, staff will go through the queue and repeat the process as time allows.
