Registration in the Vendor Internet Portal (VIP)

Q. How do I register for the VIP?

   A. Visit the registration page.

Q. I tried to register, however, a message on the initial registration page indicated "Registered Vendor exists for the TIN/DUNS Number Entered. Please contact the administrator for this TIN/DUNS Number, ".

   A. This message indicates another user has already registered this vendor within the VIP and is the administrator on file; please email or contact the person listed to have them create an additional user record. If this person is no longer associated with the vendor, please contact us.

Q. I tried to register, however, a message on the initial registration page indicated "Registered Vendor exists for the TIN/DUNS Number Entered. Please contact the Fairfax County administrator VENDORHELPREGISTRATION@FAIRFAXCOUNTY.GOV".

   A. This message indicates that we already have the TIN or DUNS number provided registered in our system, however, the vendor is not registered within VIP. Please contact us and we will send a direct invitation to register within the VIP; the initial registration page may be skipped in this circumstance.

Q. I am registered in the VIP and have recently been awarded a contract. How can I provide my W-9 and additional "Supplier" information requested of me by Purchasing staff?

   A. Please complete the Supplier Update form.

Q. I want to edit my company information in the VIP, however, I am not able to do so. How can this information be updated?

   A. Vendors who are currently doing business or have done business in the past with Fairfax County Schools or Government are limited in what address and contact information may be edited. We would be happy to process the edits on your behalf. Please complete the Supplier Update form.

Account maintenance in the VIP

Q. What is an Administrator?

   A. An Administrator has the ability to create, edit, delete, lock and unlock other users as well as edit company data. A guide to the many functions the administrator may perform may be found here. As a best practice, Fairfax County recommends having at least two administrators so that a backup is available.

Q. How do I add or edit a user or reset a user's password?

   A. Guides on user maintenance are available within the VIP and may also be found here.

Q. How do I ensure I receive emails about solicitations related to goods or services I provide?

   A. Enter NIGP/Commodity codes for your company related to your goods and services. When solicitations are published, commodity code(s) will be included and if the VIP discovers that the codes published match the codes you registered for, an email will be sent alerting you to the solicitation. Information on adding NIGP codes to your company data may be found here.

Q. How do I edit company data?

   A. Guides on editing company data, including adding or deleting commodity codes, may be found here. Please be aware that only administrators may edit data and vendors already doing business with Fairfax County, or who have done business with us in the past, may be limited in what data may be changed. We would be happy to process the edits on your behalf. Please complete the Supplier Update form.

Q. I'm the administrator and my account is locked or I can't remember my password. Who can help me?

   A. Please contact us and we can assist you in resolving the issue. We recommend having at least two administrators so that someone else is available within the vendor's staff to assist with these issues as needed.

Q. We have multiple addresses, however, only the main address is listed. Where can I add other addresses?

   A. If a vendor has multiple addresses under the same Taxpayer Identification Number then we may add alternates for you. Please complete the Supplier Update form.

Troubleshooting

Q. What types of desktops are supported?

   A. PCs running Windows XP, Vista or 7 and Macs running OS version 10.2 or higher are supported.

Q. What internet browser(s) are supported?

   A. The use of Internet Explorer versions 6.0 and higher is recommended. While other browsers may work, full functionality can not be assured.

Q. It takes a long time for the pages to load within the VIP and sometimes my connection times out.

   A. We strongly recommend that all users of the VIP have a high speed internet connection. the volume of data requested and submitted can be quite large and slower connection speeds may not be able to handle the load.

Q. Can I access the VIP on my tablet or smartphone?

   A. The VIP is not optimized for mobile browsing and may not display properly. Depending upon the mobile browser being used some functionality may be limited.

Q. What settings are recommended in Internet Explorer for the optimal experience using the VIP?

   A. Please visit our Technical Requirements page.

Q. I am unable to log off the VIP.

  A. When you select the Log off button a pop-up window should appear in front of your open desktop windows and offer an option of Yes or No. If this window does not appear, it may be in the background of your desktop, requiring you to minimize any open windows until it appears. If the window does appear, but does not log you off when Yes is selected, please contact us and provide as much information as you can about your operating system and internet browser as well as any pop-up blocking software or add-ons you may be using.   The system will automatically log off any user who is inactive for more than 30 minutes.

Business opportunities

Q. How can I find out about current Fairfax County Schools or Government solicitations?

   A. Please Visit our Current Solicitations page. By early 2014, solicitations will be viewable within the VIP.

Q. Can I bid on solicitations through the VIP?

   A. Not yet, but we hope to have that functionality enabled for select solicitations in 2013. All bid submittals should be handled via the process outlined in the special provisions provided with each solicitation.

Q. Where can I find out what contracts are currently awarded as well as when they may expire?

   A. The Contract Register is a searchable database of all current contracts and provides information including: contract terms, pricing, expiration dates and extension terms, buyer contact information.

Q. I'm interested in bidding on Construction or Capital projects for Fairfax County. Where do I find this information?

   A. Information on current projects underway and bidding opportunities for future projects may be found here. Fairfax County Government capital projects are handled through the Department of Public Works and Environmental Services.

   Fairfax County Public School (FCPS) construction projects are handled through the FCPS Department of Facilities and Transportation Services and information on current projects underway and bidding opportunities for future projects may be found here.
