Description:

This position is assigned to the Fairfax County Unified System (FOCUS) Project Team and performs administrative tasks to support the project. The FOCUS Project is a multi-year effort to replace existing corporate business systems (FAMIS, CASPS, BPREP, PRISM, Lawson) used by Fairfax County Government and the Fairfax County Public School system. The project will have over 100 team members designing business processes, configuring and testing the new system and training users. At the completion of the FOCUS Project, anticipated to be early 2013, this position will support the Department of Purchasing and Supply Management.

Assists with preparing materials for Project meetings. Maintains calendars, reserves conference rooms, organizes files, and schedules meetings. Tracks statistics and performance measures; monitors and maintains internal issues log and documentation. Assists with Project communication tasks. Prepares expenditure approval requests and follows required IT Projects approval procedures. Updates project tasks in MS Project and performs other data entry functions. Reviews and edits outgoing correspondence. Composes routine and non-routine non-technical correspondence. Assists with supply ordering and tracking. Coordinates data collection. Assists with the design and lay out of publications using specialized software. Assists with processing and tracking paperwork for staff assigned to the project. Will be required to work independently and take initiative to accomplish daily tasks.

 

Minimum
Qualifications:

Any combination of education, experience and training equivalent to graduation from high school; and three years providing administrative support in the assigned functional area.

 

Special
Requirements:

The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer prior to appointment.

 

Preferred
Qualifications:

Experience in office operating procedures. Excellent verbal, written and communication skills. Experience writing letters, memos, tracking information and speaking with the public and staff. Demonstrated competence using a personal computer, scanner, Adobe Professional, MS Office Suite to include Word, Access, Excel, Project, PowerPoint, and peripheral equipment. Ability to gather and analyze data. Ability to establish and maintain effective working relationships with both external and internal contacts.
