ADMINISTRATIVE ASSISTANT II
(Part-Time)

Juvenile and Domestic Relations District Court

$15.33 to $20.45/hour  (Grade S13)
 
Description:

This is a part-time, 20 hours per week merit position. Working hours are 4:00 p.m. to 12:00 midnight, Monday, Tuesday and Wednesday of week one, and Thursday and Friday of week two.

Answers phones, greets the public, schedules appointments and enters initial information related to the intake of cases into each of our computer database systems. Makes phone calls to scheduled appointment to ensure attendance, fields inquiries from county professionals, court staff and the public on questions about procedural issues involving intake and court processes; and provides information on a wide variety of intake issues. Schedules diversion hearings in the appropriate calendar using established guidelines. Reviews paperwork a day before each hearing to make sure that the paperwork is complete and in order, and relays any inconsistencies to the hearing officer. Makes reminder phone calls to complainants and the clients to ensure their attendance at the hearing. When necessary, schedules a language interpreter for these hearings. Assists in preparing petitions, motions, violations of court order and supporting paperwork for criminal cases and status offenses. Prepares petitions and affidavits and assists in preparing court documents using various computer databases. Responsible for the daily preparation of detention hearings. Notifies parties involved in the case ensuring all necessary documents have been retrieved and served properly. Documents information gathered on proper logs.

 

Minimum
Qualifications:

Any combination of education, experience and training equivalent to graduation from high school or a G.E.D. issued by a state department of education; plus one year of experience providing administrative support.

 

Special
Requirements:

The appointee to this position will be required to complete a criminal background check and a check of the Child Protective Services Registry to the satisfaction of the employer as a condition of employment and periodically thereafter.

 

Preferred
Qualifications:

Excellent oral and written communications skills. Good customer service skills. Ability to work in a team environment. Self-motivated, with the ability to work independently. Ability to maintain composure and professionalism in a crisis situation. Proficient in use of Microsoft Office Suite computer software, particularly Outlook, Word and Excel. Knowledge of the Department of Juvenile Justice Balanced Data Gathering Environment (BADGE) software and the Supreme Court of Virginia's Case Management System (CMS).
