ASSISTANT ARCHIVIST

Description:

Performs record management and archival duties in support of the Archives and Records Management section in the Library. Serves as the primary contact for public record disposals, responding to telephone, e-mail and written requests as received. Provides general information to agency and public in procedures to be followed in disposing of records and schedules disposals of eligible records stored in the record center. Oversees the destruction of public records. Receives, reviews and records transfer sheets. Assigns space location for record transfers. Answers inquiries about accessions, disposals, and transfers as needed. Responsible for general supervision of the section in the absence of the County Archivist. Recommends and provides training to county agencies on various record management practices including retention and disposition schedules, appropriate disposal methods, classification and filling in consultation with agency representatives, County Archivist, and state records coordinators. Responsible for the daily cash account, doing the reconciliation as needed, making the bank deposits and preparing receipts for accounting.

 

Minimum
Qualifications:

Any combination of education and experience equivalent to graduation from an accredited four-year college or university with major course work in American history, American studies, library science, or a related field; plus two years of professional experience in the management of public records and use of micrographics. Experience in the appraisal and development of disposition standards required in the drafting of records retention schedules is desirable.

 

Special
Requirements:

Ability required to lift up to 50 pound boxes (plan size) and 20 to 30 pound record center boxes. Must be able to drive a passenger vehicle. Must be able to move pallets containing boxes using pallet jack, forklift, or personnel lift to heights of 18 feet; and be able to lift and toss boxes of above weights into a compactor and truck, or place on shelves.

 

Preferred
Qualifications:

Experience: preparing reports, and speaking in front of groups of people in a professional setting. Ability to: communicate effectively, both orally and in writing; create finding aids, guides, and other reference tools; establish and maintain good working relationships with county personnel, professional researchers, and the public. Knowledge of procedures and legal requirements for the utilization of public records. Proficient in the use of Microsoft Office Suite computer software. Proficient with scanning and digital conversion technologies.

A five minute oral presentation on a topic related to archives or record management will be required at the interview.
