West Springfield Community Room

PLEASE E-MAIL ALL RESERVATION REQUESTS FOR THE COMMUNITY ROOM TO SPRINGFIELD@FAIRFAXCOUNTY.GOV

The West Springfield Governmental Center offers Fairfax County residents and charitable, service, non-profit, and civic groups in the County the opportunity to reserve meeting space in the Community Room free of charge.

This room can hold up to 60 people and contains one podium, a projection screen, a white board, and a television equipped with cable. Authorized uses of this room include meetings, conferences, seminars, lectures, civil ceremonies, and debates (it is not available for parties, showers, events where a fee is charged, etc.).

All organizations wishing to reserve the Community Room must complete an application, available at the link below, and e-mail or fax it to Supervisor Herrity's Office.

Please note the following:

  • The room is scheduled on a first come first served basis.
     
  • It can only be reserved in four-hour blocks; exceptions may be made at the discretion of the Supervisor's office.
     
  • Residents and groups may reserve the Community Room no sooner than the first day of the month prior to their event; it cannot be used on a regular basis.
     
  • Groups will be limited to one (1) regular use per month.
     
  • Official governmental use of the Community Room may supercede a reservation made by an organization. We apologize for any inconvenience and every effort will be made to give as much notice as possible if this occurs.

Rules for use of Community Room

  • No food or drink is permitted except for bottled water.
     
  • Candles and/or alcoholic beverages are strictly prohibited.
     
  • Groups must be mindful of the effects of noise on other surrounding offices.
     
  • No signs, decorations, or other materials may be affixed to any building surface or furniture, other than with Scotch Tape.
     
  • Groups must ensure that the Community Room is left clean, neat and orderly. All trash must be deposited in proper containers. Tables and chairs must be put back in original storage areas.
     
  • Any damage to the Community Room will be reported to the Supervisor's office, and the group may be held responsible. Damage includes but is not limited to carpet stains, broken chairs, tables or equipment, and marks on the walls.
     
  • Groups must bring any supplies needed for use. No additional tables or chairs are available, and neither the Supervisor's office nor the Police Department can provide equipment or copying services.
     
  • Private property brought into the Community Room is the sole responsibility of the owner.
     
  • The hallway and lobby outside the community room may not be used for breakout sessions, waiting areas, greeting tables, or other types of meetings. It must be kept clear at all times.
     
  • The group must ensure that all rules are relayed to all participants, including directions to the building.

Violation of these rules jeopardizes future scheduling by the organization.
