Youth Sports Scholarship: Guidelines for League Administrators


The following guidelines are intended to assist League Administrators in submitting completed applications to the Fairfax County Department of Neighborhood and Community Services for the Fairfax County Youth Sports Scholarship program.
 

Applications and Deadlines

  • League Administrators should require all applications to be submitted well in advance of the NCS deadlines in order to reserve enough time to screen and prepare the submission to the NCS office. Any individual applications received by NCS will be forwarded to the appropriate league administrator to be included in the league's submission package. Deadlines are as follows:
    • Spring Season - May 1
    • Summer/Fall Seasons: November 1
    • Winter Season: February 1

  • League Administrators are responsible for reviewing applications and verifying that they are complete and accurate:
    • Be sure that each application has been signed by the child's parent or guardian
      • Ensure that acceptable documentation for eligibility (see table below) is attached to each application OR that the verification of eligibility section at the bottom of the application is completed and signed by an appropriate case worker, school or other official. In order to be eligible for the Youth Sports Scholarship program, participants must provide verification that they are receiving assistance from one of the following programs:
         
        • Aid for Dependent Children: Eligibility notification letter or Scholarship form signed by school employee, social worker, or case worker
        • Foster Care: Social Worker Verification
        • Free and Reduced Price Lunches: Eligibility notification letter or Scholarship form signed by school employee, social worker, or case worker
        • Medicaid: Copy of Medicaid form, copy of medical assistance services card, Social services Notice of Action on benefits form
        • Temporary Assistance for Needy Families: Eligibility notification letter or Scholarship form signed by school employee, social worker, or case worker
           

Submission Package

  • Submissions should be made in electronic form using an Excel spreadsheet. Columns should be labeled as follows:
    • Season/Year
    • Last Name
    • First Name
    • Age
    • Gender
    • Street Address
    • City
    • State
    • ZIP Code
    • Assistance Received
    • Sport
    • Athletic Organization
    • Fee
  • Complete the spreadsheet with the appropriate information for all eligible participants.
  • Complete the Youth Scholarship Program Verification Form
  • Email both electronic documents to Nancy.Bush@fairfaxcounty.gov. Any submissions received AFTER the deadline will not be accepted.

Please Note:

  • Each athlete has a $150 limit per season and a $300 limit per year. Clubs should note that some athletes may have used the $300 allotment before they even participate with the spring sport.
  • The amount of registration reimbursement depends on the number of athletes that apply for that season. Every valid application will qualify for an amount. The rate of reimbursement should be somewhere between 18% and 24% of the requested funding.
  • It takes approximately 4 to 8 weeks from the deadline date until the applications are completely processed and groups receive their reimbursement checks. You will be notified when the applications have been processed and the reimbursement request has been sent to the finance office.
