Registration Unit Operator

Position Title: Registration Unit Operator
Location: Herrity Building, 12055 Government Center Parkway, Fairfax VA 22035
Schedule: 2-3 weekdays 8:45am-4:15pm
Salary: Starting at $12.01 per hour 

Overview: Performs a variety of duties and functions as the agency's initial contact to the public. Receives calls regarding classes, camps, trips, and tours offered through the Parktakes magazine. Registers, cancels, and transfers programs for customers. Processes registration requests by phone, mail, and fax, creates new member accounts and searches for current accounts using Rec Dynamics software. Assists in scheduling activities for adults and children that function at varying levels. Representative will also respond to any customer inquiries about services as well as handle and resolve complaints. Individual should be knowledgeable of all department policies.

Minimum Qualifications: Any combination of education, experience, and training equivalent to graduation from high school or a G.E.D. issued by a state department of education; plus at least one year of experience providing customer service in a related field.

Preferred Qualifications: Excellent customer service skills with strong organizational, oral and written communication skills. Data entry accuracy, proficiency using Microsoft Office and Rec Dynamics software. Ability to work independently and on a team. Bilingual in English and: Spanish, Korean, or Vietnamese.

Administrative Assistant

Position Title: Administrative Assistant
Location: Wakefield Park - Area 2 Maintenance Shop; 8116 Braddock Rd, Annandale VA 22003.
Hours: Monday through Friday; 8am to 3:00pm (flexible)
Salary: Starting at $16.50 per hour, benefits eligible*

Overview: Under supervision, is responsible for a variety of technical and clerical functions as the operation’s initial point of contact; performs administrative tasks for Area Park Management shop. Creates documents, memos and tracks data using a computer with desktop applications. Possesses knowledge and skill in word processing, spreadsheet compilation, email, and database management. Must be able to operate basic office equipment, i.e., fax, copier and printer. Creates, updates, or submits work order request and credit card purchase requests. Tracks shop budget and responds to staff inquiries on work order status in the Agency’s AIMS. Coordinate’s procurement activities for the shop; enters/retrieves data from the Asset Information Management System (AIMS). Answer phones, take messages, and check voice messages daily.

Duties Include:

  • Duty #1 – 50% Clerical/Technical: Provide overall general clerical support to site operations. Assists with time entry/corrections for staff using the County’s time and attendance reporting system as needed. Updates and maintains site budget spreadsheets. Using AIMS, check daily for unassigned work demands and creates work task packets. Collects and enters data from work task packets into AIMS. Maintains and updates the operation’s filing system. Provide support for the operation’s time keeping systems. Ensure copier, fax and printers are stocked with paper and ink.
  • Duty #2 – 20% Communication: Answer phones, take messages, and check voice messages daily. Relay messages/issues to appropriate staff. Attend meetings and take minutes as required. Accept and sign for deliveries. Post in central location employment and labor related notices and documents such as: safety posters and notices, OSHA, VIOSH, Federal, State, County, etc. Act as community point of contact for the shop.
  • Duty #3 – 10% Purchasing: Inventorying and ordering office supplies as needed. Assists with procurement card documentation for the operation. Collects all completed procurement card logs, verifies funding codes, scans logs, then submits scanned logs to the purchasing section. Files hardcopies of procurement card logs. Resolves all missing/incorrect procurement card receipts with vendors and staff. Assists with purchase requisitions as required for items not purchased on a procurement card. Maintains an electronic spreadsheet of all outstanding purchasing documents; assists with closing out purchase orders once materials are received.
  • Duty #4 – 10% Inspections, Training and Safety: Assist with completing and filing, basic maintenance, shop, equipment, and vehicle inspections. Inspections may include but not be limited to: first aid kit, shop emergency signs and lighting, shop safety, fire extinguisher, various vehicle and equipment, Safety Data Sheets (SDS), portable toilet cleaning, contract mowing, etc. Assist with tracking parts, materials and park features inventories. Assist with tracking employee safety, mandatory, and other trainings. Ensure all building and equipment certifications are current.
  • Duty #5 – 10% Other: Assist with other duties as assigned. Obtain a general understanding of all applicable Agency and County Procedures, Regulations, Guidelines, and Policies. May assist with custodial duties in shop offices and restrooms. May be required to operate a county vehicle to visit headquarters, parks, and other locations to perform duties above.

  • Knowledge of administrative office procedures.

Adult Education Coordinator/Instructor

Position Title: Adult Education Coordinator/Instructor
Location: Green Spring Gardens; 4603 Green Spring Road, Alexandria, Virginia 22312
Schedule: Must have scheduling flexibility to allow for weekday and weekend times as well as occasional evenings. Average 25 hours weekly.
Salary: $16.00 per hour.

Overview: Green Spring Gardens seeks a charismatic team member for immediate hire to teach and schedule horticulture and cultural history programs for adults. This position oversees scheduling, staffing, or finding staff for public and private programs. Applicants should have strong oral communication skills with the ability to present and teach to groups of varying, age, number, and cultural background. This team member will be responsible for planning programs, contracting outside presenters, developing and leading education programs, scheduling volunteers and assisting with events. Additional duties include administrative, volunteer management and customer service.

Required Qualifications: Interest and knowledge base in horticulture, gardening, history, and/or educational programming with excellent oral and written communications skills. Enthusiasm for working with people and developing program content. Ability to present and interpret programs to diverse groups. Some experience in customer service and administrative support. Successful candidate must be able to acquire a thorough knowledge of Recreation Dynamics point of sale system, familiarity with Microsoft Office Suite, audio visual and standard office equipment.

Preferred Qualifications:

  • Experience in horticulture, gardening, history, and/or education or a related field.
  • Experience with volunteer management.
  • Undergraduate degree in a related field.
  • Multi-lingual is a plus.

Safety Assistant (Safety Analyst I) 

Position Title: Safety Assistant (Safety Analyst I) 
Location: Herrity Building; 12055 Government Center Parkway, Fairfax, VA. 22035 
Hours: This is a year-round part-time position averaging 20 hours per week. 
Salary: Starting at $27.38 per hour. 

Overview: The Safety Assistant assists the Park Authority Safety Coordinator to ensure compliance with all applicable safety and health laws and regulations; and performs related work as required. Assists with DriveCam administration, claims management processes, maintaining safety databases and tracking and reporting related to safety training administration. Responsible for the maintenance of the Safety Office SharePoint page and updating safety documents for agency use. Provides ad hoc reporting as needed. 

Duties Include: 

  • Fleet Safety Program: This position will complete an initial evaluation of DriveCam events, identifying events of note that will require further action by the safety office. Additionally, they will track individual driver and site performance metrics, making recommendations for safety office intervention to address negative trends or improper driving behaviors. Compile and evaluate monthly KPIs reporting out to the Safety officer and making recommendations to address concerns.
  • Claims management: This position will assist in the intake, and processing of property loss and injury claims to include, review of claim, procurement of required documentation, initial investigation, record management, tracking of claims progress, and claims database management.
  • Safety Information Management: This position will aid the maintenance of safety databases; including. COVID in the workplace and potential outbreak reporting, employee and citizen injury databases, proper-ty loss and behavior incident reports, and CAPRA accreditation evidence documents. Ensuring databases are kept up to date and producing reports on an as needed basis. Additionally, they will assist with maintaining the agency facing Safety Office webpage.
  • Safety Training Administration: This position will assist with the coordination of the Safety Training program including maintaining an annual training calendar, tracking agency safety training compliance, coordinating with third party safety training providers, and maintenance of training records.

Minimum Qualifications: 

  • Sedentary with walking and lifting less than 25 pounds.

Preferred Qualifications: 

  • One or more years of occupational safety experience. Including workplace safety program administration and/or implementation.
  • OSHA 10 or OSHA 30 certification.
  • Strong database management skills.
