Seasonal Position Descriptions

Position Title: Patriot Park North, Manager on Duty (MOD)
Location: 5425 Willow Springs School Road, Fairfax VA 22030 
Hours: Core Hours: Friday 5:00-11:00pm, Saturday 7:00am-11:00pm, Sunday 7:00am -11:00pm. Occasional Hours: Monday - Thursday 5:00-11:00pm
Salary: Starting at $15.40, depending on experience. – No benefits

Overview: Act as onsite staff during FCPA diamond sports tournaments. 

Duties Include:     

  • Ensures the safe and effective operation of the park. Early shift opens the administrative side of the park, preparing it for Tournament Organizers. Closing shift closes and secures the park at the end of each day.
  • Works with Site maintenance staff, providing communication and feedback with Tournament organizers.
  • Ensures Park is well maintained and kept in safe conditions.
  • May perform routine maintenance and custodial tasks to include sanitizing high touch surface areas, emp-tying trash cans, and cleaning restrooms and other areas.
  • Provides excellent customer service, greets Tournament Organizers, assists customers in resolving issues or concerns.
  • Performs administrative work as needed.
  • Takes initiative to increase one's knowledge of the park operations, its facilities, programs, services, and resources.
  • Serves as the primary contact point for Tournament Organizers. Provides verbal and written information and directions relating to the facility.
  • Stays up to date on Park Authority Rules and Regulations, Standard Operating Procedures, state and county laws, and other pertinent guidance.
  • Note’s safety/security and maintenance concerns, addresses them where feasible, and reports to supervisor using appropriate methods and recordkeeping.
  • Responds on behalf of the Park Authority to potential and actual emergency situations occurring on site while on duty.
  • Completes special projects and tasks as assigned.

Minimum Qualifications: 

  • Agree to a Criminal Background Check (fingerprint) 
  • Have or willing to obtain CPR and first aid certification.
  • Applicants must be at least 18 years of age.
  • Must have a valid driver’s license. 
  • Be able to lift up to 25 pounds and perform general maintenance and custodial work. 
  • Must be personable, punctual, dependable, and self-motivated.

Preferred Qualifications: 

  • Supervisory experience. 
  • Extensive customer service experience. 
  • Experience dealing effectively with emergencies and other difficult situations.

Position Title: Implementation Project Coordinator

Location: Herrity Building, 12055 Government Center Parkway, Fairfax, Va. 

Hours: This position will be required to report to the office between normal business hours (9 a.m. to 5 p.m.), with some flexibility. Some evening and weekend work may be required. 

Salary range: $32.42 to $43, depending on experience and certifications.

The Implementation Project Coordinator serves as the overall project coordinator for the Recreation Management system replacement. This includes coordinating the full request for proposal (RFP) process, vendor selection, and software implementation.  Additionally, this position coordinates the overall project team including developing and managing all internal schedules, defining and assigning tasks, and developing and ensuring FCPA meets deadlines/timelines relating to system implementation. This position will also set up and create documentation for all RFP and implementation needs.  Acts as project coordinator for implementation of new system, working closely with the vendor, internal FCPA staff, and County staff on all aspects of implementation. 

Duties: 

Project Coordination

  • Lead coordination efforts for the Recreation Management System replacement project.
  • Manage the RFP process and oversee software implementation.
  • Organize and direct project team activities, including task management and scheduling.
  • Develop and maintain project timelines, ensuring deadlines are met.
  • Act as the primary point of contact with the procurement team.
  • Oversee all administrative aspects of the project.
  • Assist with contract negotiations and vendor selection.
  • Collaborate with the vendor and project team on implementation timelines.
  • Assists with tracking requirements, bugs, issues, data uploads, and testing throughout implementation.
  • Plan and support the rollout of training programs.

Organization & Documentation

  • Develop and maintain centralized resources for procurement and implementation documentation.
  • Establish tracking mechanisms for system requirements, documentation, and business processes.
  • Oversee data collection processes related to the project.
  • Create and manage internal resources for project documentation and training materials.

Communication

  • Serve as the primary liaison between the project team, procurement, vendor, and stakeholders.
  • Prepare reports and presentations for senior leadership.
  • Develop and execute a communication campaign for end users and staff.
  • Assist in scheduling and organizing training sessions.
  • Coordinate with the Marketing & Communications team on public-facing materials for software rollout.

Minimum Qualifications: 

  • 2 years of experience managing projects and/or implementing new systems. 

Preferred Qualifications: 

  • Understanding of large-scale recreation agency, in particular, recreation-oriented ser-vices.
  • Experience with project management and using project management software
  • Experience working on IT-oriented projects
  • Experience using recreation management software
  • Strong organizational and communication skills

Graduation from an accredited four-year college or university with a bachelor's degree in the field related to the assigned functional area; plus two years of professional work experience within the functional area.

Summer Entertainment Series Site Manager

Location: Mason District Park Amphitheater, Annandale, VA
Pay: $18 per hour

Schedule for 2025:

  • Every Friday, and Sunday evening, from June 20 to August 16, 2025, from 4:00 to 10:30 p.m.
  • Every Saturday morning, from June 14 to August 16, 2025, from 8:30 to 11:30 a.m.
  • Estimated 17 hours/week

Responsibilities: The incumbent will be responsible for opening and closing the amphitheater before and after Summer Concert Series Shows in the evenings on Fridays, and Sundays on the dates listed above and on the listed Saturday mornings. Incumbent will have access to a small utility vehicle to navigate between the stage, sound deck, parking lot and park area. Typical duties are as follows:

  • Preparing the amphitheater for the concert by unlocking the dressing and storage rooms, turning lights on, making sure the stage is clean, the seating area is clean, the restroom facilities are open and useable, parking area has no issues, hanging the US flag and Supporter of Mason District Park banner, placing donor signs by the sound booth and directional signs from the park entrance leading to the amphitheater, etc.
  • In case of inclement weather or any other issues with the amphitheater, support facilities and parking, contact Shera White, Events and Volunteer Manager, to discuss options.
  • Greeting sound crew and making sure they have access to power, storage room, etc. Contact Shera White if sound crew has not arrived by 5:00 p.m.
  • Greeting performers and making sure they have access to the dressing rooms, power, etc. and have number of chairs they have requested and water in the refrigerator in the dressing room. Contact Shera White if performers have not arrived by 5:30 p.m.
  • Setting up the entrance area to the seating area by the sound booth and making sure all items are on display – carboard fans, donor sign, donation box, etc.
  • Check the parking area and the picnic shelter to ensure there is no picnic is taking place at the shelter that is taking up too much of the parking spaces. If so, let them know that the shelter is reserved for the concert and politely ask them to leave before 7p.m.
  • If parking is full, assist cars to park on the lawn area next to the tennis courts. This could last until the show starts.
  • Greeting Supervisor Jimenez, Mason District Supervisor and Rick Healy, FCPA Board member as they arrive and making sure they are assisted if need be. Be responsive to requests from Supervisor Jimenez and Park Authority Board members on site.
  • While the performance is in progress, change the announcement board at the park entrance to display the next show.
  • Drive utility vehicle around the park to make sure there are no issues. Make a count of attendees during the performance.
  • Record a count of the number of people attending the show.
  • After the end of the concert, return all items back to where they belong, make sure everyone has left and stage is cleaned for next show, turn lights off and lock the storage rooms.
  • Complete and report the weekly attendance report and concert related issues. Report any maintenance issues.

For rainouts or cancelations, hours may be shortened or canceled for the day per FCPA procedures. The above tasks are performed for evening shows. Morning shows are shorter, so the duties are modified, with no sound company.

Pay: $18 per hour 

Schedule for 2025:

  1. Saturday evenings in August. (8/2, 8/9, 8/16, 8/23) from 4:30 p.m. to 8:30 p.m.
  2. Estimated 7 hours/week

Responsibilities: The incumbent will be responsible for monitoring the opening & closing procedures and serving as a Point of Contact to the Children’s performer on the dates listed. Typical duties are as follows:

  • Place directional signage, parking stanchions, extend light towers and place other misc. equipment.
  • Greet Food Vendors as they arrive and direct placement.
  • Greet Parking Crew & Volunteers as they arrive and provide instruction.
  • Greet Children’s Performer upon arrival and provide assistance with power; Direct to performance location.
  • Children’s Performance Begins Approx. 8:30 p.m. Movie begins at dark
  • Dismiss volunteers
  • Record a count of the number of people attending the show and movie and complete the weekly attendance report form.
  • After the end of the movie, return all items back to the small storage shed, make sure everyone has left, turn light towers off and lock the storage rooms and return the gator to the maintenance yard.
  • Submit weekly attendance report
