The following information is for those organizations that have been awarded Capacity Building Grants by Fairfax County to implement programs through the Partners in Prevention Fund (PIPF). All grantees should first refer to the Grantee Handbook as their primary resource for information on their contract and responsibilities, tips on implementing programs, and the invoice and payment process.
At least three weeks prior to implementing any program, organizations must complete the Program Planning Worksheet. Completed forms must be emailed to Lisa Lunghofer and to NCS-Prevention@fairfaxcounty.gov for review and approval. Please do not email planning sheets directly to Cross-System Prevention staff.

Shortly following program approval, you should receive a Purchase Order (PO) – similar to this sample PO – from Fairfax County. The PO is your official notice that the county will pay you for your services. Please note the PO number, which you will need to request payment.
The contract pays a flat fee, plus any applicable Outcomes Rate Card bonus, for each time you implement the program. In order to receive payment, complete an invoice and email it to ncs-prevention@fairfaxcounty.gov. NCS staff will work with you and the external evaluator to determine if your are eligible to receive any bonuses, and then to submit the invoice for processing. This invoice is your “bill” – the official notice you submit certifying that you have provided the service you were contracted to do and are requesting payment. After that is completed, Fairfax County will process your payment.
